Your team is using AI daily. Your pipeline hasn't noticed.
A system redesign for marketing teams who adopted AI tools, increased output, and got no more qualified leads out of it. We rebuild how content, workflows and tooling actually operate, so what the team produces turns into pipeline.
The problem
The tools were never the constraint. The system around them was.
Most marketing teams adopted AI the same way: individuals started using tools on their own, output went up, and nothing was redesigned around it. The result is a team that produces more, faster, with no more revenue to show for it, and often a quality problem nobody wants to name out loud.
- Content volume is up. Qualified leads are flat.
- Everyone uses AI differently, and nobody can say what “good” looks like.
- Output quality is inconsistent enough that someone senior is quietly rewriting most of it.
Fit
This is built for you if
Marketing Director with a team already using AI
Tools adopted, no system around them
“Everyone has ChatGPT open and nothing is consistent.”
Head of Growth or Demand Gen at a scaling SaaS
Content volume up, pipeline flat
“We are producing more and converting the same.”
Operations-minded Founder
Small marketing function, high manual load
“Too much of this is being done by hand and it does not scale.”
This is probably not a fit if
- Teams without anyone who can own the system after handover
- Companies wanting headcount replaced rather than throughput improved
- Organisations where marketing has no budget authority
Deliverables
What is included
- Current-state audit: how AI is actually being used across the team today, versus how people say it is
- Workflow redesign: the research, plan, create, review, publish and measure chain, rebuilt with defined AI roles at each stage
- Context and knowledge architecture: the brand voice, positioning and reference material the team's AI tools draw on, built once so it stops being re-explained in every prompt
- Quality gates: what gets reviewed, by whom, against what standard
- Tooling recommendation: what to keep, what to consolidate, what to drop
- Measurement framework: how you will know in 90 days whether this worked
- Team enablement session: so the system survives past handover
Process
How it runs
- 01
Discovery
Week 1
Interviews with the team, and a review of current output and tooling.
- 02
Diagnosis
Week 2
Where the system breaks, prioritised by cost.
- 03
Design
Weeks 3–4
Workflows, knowledge architecture, and quality gates.
- 04
Enablement
Week 5
A working session with the team, and documentation handover.
- 05
Review
Day 90
A measurement check against the framework agreed in step one.
Investment
Timeline and investment
Typically a 5-week engagement, scoped and priced after a discovery conversation.
What changes the price: team size, number of markets or brands, how much existing documentation there is to build on, and whether implementation support extends beyond the enablement session.
If you want a sense of scale before committing to a longer conversation, the audit is the cheaper entry point and usually clarifies whether this is the right engagement at all.
FAQ
Before you ask
- Do you run the content operation afterwards?
- No. This is design and enablement, and the system is built to be run by your team. If you want ongoing implementation, theCSS Agency handles that separately.
- What if we're already happy with our tools?
- Then we probably keep them. The tooling recommendation is the smallest part of this engagement; the workflow and knowledge architecture are where the value is.
- How is this different from the audit?
- The audit diagnoses visibility. This rebuilds how the team works. If you are not sure which you need, start with the audit. It is cheaper and it usually answers the question.
- Will this reduce headcount?
- That is not the goal and I will not pitch it that way. In practice it changes what the team spends its time on, not how many people you need.
Worth a conversation?
A short scoping call, and you will leave with a view on whether this is the right engagement and what it would cost. No sequence attached to it.
